This document is designed to provide an easy to read, easy to follow, step-by-step guide for your tenants to get started using RentMindMe. RentMindMe allows you to enter a subsidy amount when creating a lease. This subsidy amount is deduce thted from the total rent your tenant owes each month. When the rent reminder is sent your tenants subsidy amount is subtracted from their total owed allowing them a clear understanding of their total responsibility.

We offer email, in-app feedback, messaging and phone support for you and your tenants to answer any questions that come up.  We are US based and here to provide guidance on how to best use RentMindMe to fit your business model and to listen to any suggestions you have about the application.

When your tenant pays rent, you are notified immediately and a digital check is delivered to your email within seconds. The funds are directly deposited into your bank account within 3 business days. RentMindMe sends your tenants instructions that outline what they need to do to complete their profile.

The focus of this communication is on setting up their bank account so they are ready to pay rent when the due date arrives. 

RentMindMe provides a single source of communication for you and your tenants. From rent notifications to receipts to online submission and management of maintenance request, everyone involved stays up to speed with communication. 

Tenants can receive rent reminders via text / SMS and our bulletin functionality lets you communicate with one or all tenants using a single message. Your bulletin is delivered via text, email and in-app so you can rest assured that your tenants will receive your messages.

 

RentMindMe has 5 layers of security to protect our users data:

  1. Access to our application requires enrollment and authentication. No one can access it without a login and password.
  2. All passwords require numbers, a capital letter and a special character for added security.
  3. We have an SSL Certificate that verifies our domain is secure.  On mobile, a lock icon will appear in front of the domain to indicate that it is a secure connection.
  4. We communicate bank information with our third party PCI compliant partners using an API that requires  secret keys in order for the communication to work. We do not store any bank information. All of that is sent via an encrypted communication to our PCI compliant processor.
  5. We do not sell or share any personal information.

RentMindMe makes the management of duplex, triplex, fourplex and multi-family rental units easy. Common space work orders allow your tenants to submit maintenance requests associated with common areas alerting other tenants to the maintenance need and reducing the number of duplicate requests you receive.

Yes, you will need access to both the email you initially enrolled with and the email you plan to use.

To make the update, navigate to your profile to make the appropriate updates. Your profile is located in the top right corner on laptops or PC’s. On mobile, you can find your profile by tapping the three lines in the bottom right of the navigation menu.

As a result of updating your email address, a token will be sent to your previously used email. You will have 10 minutes to retrieve the information that will be necessary to change the email associated with your profile.

RentMindMe processes payments through ACH which is very similar to your tenant writing you a check.

Funds from rent payments will be deposited into your account within 2-3 business days depending on when the payment is initated and whether or not there are any holidays happening.

As an example, if a holiday like July 4th happens in the middle of the week, your rent payment will be delayed by a day due to the bank holiday and the federal banking system being closed.

Lease Management FAQs:

Yes! In the event you need to increase, decrease or add a monthly fee – it’s easily done with RentMindMe.

Examples of why you might need to increase a monthly fee include:

  1. A tenant gets a pet, you’d need to add a pet fee.
  2. Your tenant is using more or less water or other utilities than you originally estimated.
  3. Your tenant receives a temporary subsidy to help them recover from an emergency.

To make the adjustments, navigate to the Proeprty Details page of the applicable rental unit. On the property details you will see a summary of the monthly charges. You can edit those monthly charges and save your changes. 

NOTE: Changes made to a rental unit’s monthly charges will be made on a move forward basis. All historical invoices for the unit will have the orginal lease charges.

You will need to terminate the lease in our system and re-enter the new terms.

To terminate a lease, navigate to the property detail of the property you need to update. Click the terminate lease button. You will need to make sure you clear up any outstanding balance. Enter a new lease for the same property with the new due dates or lease terms.

Don’t worry, your tenant won’t need to add a bank account again, it stays intact with their profile. If they have setup AutoPay, they will need to choose a new date to have their AutoPay execute.

RentMindMe offers landlords and rental managers the ability to create custom invoices for amounts owed beyond monthly rent billing.

To create a custom invoice, you can click the link on the dashboard below the Payments summary. You will have the ability to create a line item summary of charges that make up a custom invoice. Once you create the invoice, your tenant is notified about the bill immediately.

When it comes time to pay rent, your tenant will be able to choose whether they pay the most recent balance or the full amount due. Our rental management software is designed to have custom invoices absorb into the tenant’s full amount due giving them the time to be ready to pay the money owed but enforcing its collection as well.

There are two ways of understanding your tenant’s enrollment status in RentMindMe. 

If you are only worried about one tenant the Property Details page under My Rentals will show you the current status of whether a tenant has created their RentMindMe account, verified their bank account and whether or not they have enabled AutoPay.

If you have setup several properties at one time and need to manage at a higher level, you will find a link on your dashboard labeled “Manage Tenant Enrollments”. Clicking this link will open the Enrollment Overview page. This page will give you a summary of each property you manage and whether or not the tenants of that property are ready to pay rent online.

Yes! You can use bulletins to communicate with one or many tenants at a single time. The benefit to you… you write one communication that gets delivered to your tenant(s) via text, email and in app. Reduce confusion and save time with RentMindMe’s bulletins.
