How do online rent payments work?
RentMindMe notifies your tenants when rent is due, saving you the time spent chasing rent. When your tenant pays rent, you are notified immediately and a digital check is delivered to your email within seconds. The funds are directly deposited into your bank account within 3 business days. RentMindMe offers the ability to set up recurring payments so your tenants can “set it and forget it”!
Our property management software allows you to structure the collection of rent to accommodate diverse business needs like managing multiple companies with different business bank accounts, or organizing rent collection by Single Family, Multi Family or Commercial Properties. RentMindMe makes property management easy!
How does RentMindMe help collect rent?

How does RentMindMe streamline communication?
RentMindMe provides a single source of communication for you and your tenants. From rent notifications to receipts to online submission and management of maintenance request, everyone involved stays up to speed with communication.
Tenants can receive rent reminders via text / SMS and our bulletin functionality lets you communicate with one or all tenants using a single message. Your bulletin is delivered via text, email and in-app so you can rest assured that your tenants will receive your messages.
How does RentMindMe keep my information safe?
Rest assured that you and your tenant’s information is secure on RentMindMe. The platform has 5 layers of security to protect our user’s data.
- Access to RentMindMe requires enrollment and authentication. No one can access the platform without a login and password.
- We require secure passwords that must include numbers, a capital letter, and a special character.
- We have an SSL Certificate that verifies our domain is secure. On your phone, a lock icon will appear in front of the domain to indicate that it is a secure connection.
- All bank information is communication with PCI (Payment Card Industry) compliant partners using an API (Application Programming Interface) that requires secret keys for the communication to work. We do not store any bank information on the RentMindMe platform. All bank information is sent via an encrypted communication to our PCI compliant processor.
- We do not sell or share any personal information including emails and phone numbers.
Can I manage duplex rentals with RentMindMe?
Yes! You can manage duplex rentals with RentMindMe. RentMindMe’s property management software is ideal for landlords of duplexes, triplexes, and fourplexes. Managing multi-family rentals on RentMind Me is easy! You enter each lease into your RentMindMe dashboard. We prompt you to answer per-unit questions including tenant information, rent price, and due dates.
In addition, you can create common space communication boards. This allows tenants to submit maintenance requests or problems associated with shared areas. You and your tenants will be alerted any time someone messages the communication board, reducing the number of duplicate requests you receive.
RentMindMe also allows you to send group bulletins to all your tenants at once. This saves you from sending individual, repetitive messages to each tenant.

How quickly can I get setup?
Setup is fast and easy, it takes the average user less than 1 minute. Once you are setup, just add your bank account, property, lease and tenant information and you’re all set. We use the information you provide us to automate your experience. We have reduced the amount of effort you and your tenants have to put in to getting setup so that you can start seeing the benefits of automating your rental property management immediately.

How do I explain this to my tenants?
RentMindMe makes it easy by providing you with an email template, along with our Tenant 101 doc that you can send to your tenants before you invite them . This document is designed to provide an easy to read, easy to follow, step-by-step guide for your tenants to get started using RentMindMe. Additionally, we provide support for you and your tenants – free of charge.

How does RentMindMe handle Section 8?
RentMindMe allows you to enter a subsidy amount when creating a lease. This subsidy amount is deduce thted from the total rent your tenant owes each month. When the rent reminder is sent your tenants subsidy amount is subtracted from their total owed allowing them a clear understanding of their total responsibility.
What kind of Customer Support do you offer?
We offer email, in-app feedback, messaging and phone support for you and your tenants to answer any questions that come up. We are US based and here to provide guidance on how to best use RentMindMe to fit your business model and to listen to any suggestions you have about the application.
What options do tenants have for paying rent?
Tenants have a variety of options when it comes to paying rent. Here is a breakdown.
Rent Payments Amounts
Tenants can choose to pay their balance or a different amount. You are in control of whether the tenant is given the option to make partial payments. If you don’t elect to turn on partial payments the tenant will only have the option pay their total or an amount greater than their total.
If you elect to turn on partial payments, your tenants can choose a payment amount less than their total amount due. This is useful if you have negotiated an arrangement where your tenant will make one payment by x date and another by y date.
Rent Payment Options
By default all tenants have the ability to pay rent via a checking or savings account. You can also use RentMindMe to record the receipt of cash, money orders, personal checks or other payment methods.
In the event you want to accept debit or credit card payments you can elect the add on to your subscription which will allow your tenants the flexibility to pay with either a debit or credit card. This option adds flexibility and allows your tenants to earn points when they use their cards.
Regardless of whether your tenant pays with a bank account or a card, you can expect that you will receive the full rent amount deposited into your account.
Can RentMindMe really improve my rent collection?
Nowadays, most bills can be paid online. Rent payments shouldn’t be the exception. Tenants are expecting an online ACH rent payment option and providing that service is a huge time-saving benefit to both the landlord and tenant.
Once you set-up up your RentMindMe account, you add all the details of each lease by tenant. Our payment reminder feature allows you to decide when an automatic message goes out to each of your tenants reminding them that rent is due soon (and late!). Late fees are added to their payment balance automatically.
When rent is paid, both you and the tenant receive confirmation. Rent payments are also visible in the reporting section of your Landlord Dashboard. Payments are deposited directly into your bank account within 2-3 business days.

What happens after my tenants enroll?
You provide your tenant’s name and email address when setting up each of your properties and leases on the RentMindMe dashboard. RentMindMe sends each of your tenants instructions that outline how to complete their online profile.
The first steps of the process focus on helping the tenant to set-up their bank account on RentMindMe. We encourage tenants to register for automatic rent payments that they schedule to come out of their bank account on the same date(s) each month. This ensures you get rent on time and tenants avoid late fees.

Can I change the email address I initially signed up with?
Yes, you can change the email address you initially signed up with. However, you will need access to the email you initially enrolled with.
To update your email address, navigate to your profile. Your profile is located in the top right corner of the screen on laptops and desktops. If you are using your phone, look for 3 lines in the bottom right corner of the navigation menu.
Once you update your email address, a code and instructions will be sent to your old email address. You have 10 minutes to retrieve the code that confirms the change of email address.
How long does it take to get my rent money?
Online ACH rent payments take 2-3 business days to deposit into your account. This lead time is essential to ensure payments are processed securely and that the tenant has the funds available in their account. Please note that processing time is affected by banking hours including holidays and weekends.
We know that it can be frustrating to wait for rent payments to be deposited, but keep in mind that most checks do not clear immediately, even if they are deposited in person. Setting up online payments with RentMindMe eliminates common delays in the rent collection process, especially if your tenants mail their rent checks or if they require you to collect payment in-person. In addition, RentMindMe’s online ACH rent payment processing system eliminates the chance of bounced checks.
You will receive a notification as soon as a tenant initiates payment. You will also receive a deposit confirmation.
Managing your leases
Can I modify the monthly fees during an active lease?
Yes! In the event you need to increase, decrease or add a monthly fee – it’s easily done with RentMindMe.
Examples of why you might need to increase a monthly fee include:
- A tenant gets a pet, you’d need to add a pet fee.
- Your tenant is using more or less water or other utilities than you originally estimated.
- Your tenant receives a temporary subsidy to help them recover from an emergency.
To make the adjustments, navigate to the Proeprty Details page of the applicable rental unit. On the property details you will see a summary of the monthly charges. You can edit those monthly charges and save your changes.
NOTE: Changes made to a rental unit’s monthly charges will be made on a move forward basis. All historical invoices for the unit will have the orginal lease charges.
How do I change a tenant's due date and lease terms?
You will need to terminate the lease in our system and re-enter the new terms.
To terminate a lease, navigate to the property detail of the property you need to update. Click the terminate lease button. You will need to make sure you clear up any outstanding balance. Enter a new lease for the same property with the new due dates or lease terms.
Don’t worry, your tenant won’t need to add a bank account again, it stays intact with their profile. If they have setup AutoPay, they will need to choose a new date to have their AutoPay execute.
I need to bill a tenant for something other than rent. How do I do that?
RentMindMe offers landlords and rental managers the ability to create custom invoices for amounts owed beyond monthly rent billing.
To create a custom invoice, you can click the link on the dashboard below the Payments summary. You will have the ability to create a line item summary of charges that make up a custom invoice. Once you create the invoice, your tenant is notified about the bill immediately.
When it comes time to pay rent, your tenant will be able to choose whether they pay the most recent balance or the full amount due. Our rental management software is designed to have custom invoices absorb into the tenant’s full amount due giving them the time to be ready to pay the money owed but enforcing its collection as well.

How can I tell if a tenant I've invited has signed up?

There are two ways of understanding your tenant’s enrollment status in RentMindMe.
If you are only worried about one tenant the Property Details page under My Rentals will show you the current status of whether a tenant has created their RentMindMe account, verified their bank account and whether or not they have enabled AutoPay.
If you have setup several properties at one time and need to manage at a higher level, you will find a link on your dashboard labeled “Manage Tenant Enrollments”. Clicking this link will open the Enrollment Overview page. This page will give you a summary of each property you manage and whether or not the tenants of that property are ready to pay rent online.
Can RentMindMe save me time in communicating with tenants?
RentMindMe provides a single avenue of communication between you and your tenants. All relevant messages and paperwork like rent payment notifications, rent payment receipts, maintenance requests, and communication bulletins are sent through RentMindMe’s platform. Each party will remain apprised of updates and messages won’t be overlooked or misplaced.
Tenants can receive rent reminders via text and email. Our bulletin function lets you communicate with one tenant at a time or send a policy update to all your tenants at once. Your bulletin is sent via text, email, and as a notification on the RentMindMe dashboard. You can rest easy knowing tenants receive all your messages and you will avoid miscommunications and oversights.
